Commercial Real Estate Transaction Coordinator

CIRE Equity is seeking a Commercial Real Estate Transaction Coordinator who will be responsible for all acquisition, disposition, and refinance transaction work. In addition, they will work with our General Counsel on document drafts and reviews along with our Asset/Property Management and Operations teams. This individual will communicate directly with the Executive team and be relied on to cover a wide swath of responsibilities ranging from transaction management to basic analysis, paralegal work and investor relations. The position involves a high level of project management and the ability to interact with internal and external resources to complete tasks. An ideal candidate will be proactive, will possess a strong attention to detail without compromising efficiency, and will be able to independently tackle and resolve complex issues in our fast-paced, ever changing environment.



Assist executive team in preliminary research and analysis of potential acquisitions/dispositions/refi
Coordinate property inspections with vendors, lenders, and internal staff
Work with escrow, lender, and legal team to ensure all transaction documentation is signed and delivered to appropriate destinations
Inventory due diligence materials to ensure team has all adequate resources to perform a thorough due diligence review
Perform ad-hoc financial analysis as requested by management (ex. CAM pools, Repair reimbursements)
Abstract all due diligence materials received from Seller and report findings to executive team
Assist Financial Analyst in due diligence review
Work with Acquisitions & Legal teams to ensure lender requirements are satisfied
Work with Asset Management team to ensure smooth transition in on-boarding asset

Investor Relations/Operations

Draft and distribute quarterly financial reports to investors which includes compiling financial statements and distribution summaries
Assist IR & Legal team in obtaining and distributing documents to and from all investors including but not limited to: subscription documents, dissolution agreements, notices, and quarterly distributions
Manage and maintain the Investor Portal and provide new investors both access to it, in addition to training and troubleshooting
Work with Accounting department to ensure quarterly distribution process is smooth and investor information is 100% accurate
Assist Legal team in document review and drafts as required
Manage ShareFile, the company cloud based file storage system
Perform notary services as needed
Be a friendly and familiar face to everyone and always be willing to help as needed


Maintain and adhere to strict deadlines of transactions with high level of accuracy through attention to detail and a thorough review of contracts, vendor management, and due diligence material review.
Efficiently and accurately perform document review and drafting utilizing internal and external resources to complete tasks.
Consistently look to improve processes and procedures to streamline and automate tasks in Podio, the company workforce solution.
Proactively look to assist team members in increasing their efficiency through assistance and taking on special projects.

Highly proficient in commercial real estate transaction documents and process.
Ability to read and interpret legal documents such as commercial leases, CC&R’s, listing agreements, management agreements, loan agreements and service contracts.
Ability to write clear, professional reports and correspondence.
Highly proficient in Microsoft Office Suite. Podio and MRI experience is a plus.


3+ years of experience as a commercial transaction coordinator, project manager, or paralegal.
